About PortFlow
The maritime agency platform built for how ports actually work.
Our Mission
We built PortFlow because maritime agencies deserve better tools. Managing vessel arrivals, coordinating services, generating quotations, and issuing invoices should not require juggling spreadsheets, emails, and paper forms. PortFlow is port agency management software built from real operational experience — From ETA to Invoice, all in one system.
What We Do
- Vessel Management — register vessels, track ETAs, manage documentation and port call history in one place.
- Operations Tracking — log every port operation with full audit trails, client references, and service details.
- Quotations & Invoicing — generate professional quotations automatically and convert them to invoices with one click. Export to PDF in English or Español.
- Captain Portal — give vessel captains secure, read-only access to their own documents and port call status without exposing internal data.
Who We Serve
PortFlow is designed for maritime agencies, port agents, and shipping companies operating in Latin America and beyond. Whether you handle a handful of vessels per month or manage a high-volume port operation, PortFlow scales with your workflow.

How PortFlow Was Born: 8 Months at Sea

Caribbean Basin operations, 2025
In 2025, Jeffry accepted a role as Superintendent Afloat on a product tanker operating across the Caribbean Basin. What he experienced over those 8 months exposed the same failures across every port call:
48 Hours Waiting at Sea
The agency failed to transmit the vessel's ETA to the port authority. Arriving on a Friday at 1 PM, the authority had no record of the ship — no pilots available. The vessel waited 48 hours in open sea at 2 knots. A rogue wave struck the starboard side. Jeffry caught his MacBook in mid-air while bracing himself. A lifeboat deployed and was lost. A formal protest was filed.
The Provisions Nightmare
Provisioning was managed entirely via Excel and email. Orders arrived in 2–3 days but always incomplete — what was ordered for 10–12 days would last only 8 at cost. The cook “made magic” to feed 17 crew members. The cycle repeated: a new list, more gaps, another partial delivery. No visibility into what was coming, when, or why.
Fuel & Fresh Water: Opacity and Delays
Requesting fuel and fresh water meant email chains to the agency, followed by WhatsApp numbers to intermediaries who rarely answered. Sometimes they'd say delivery was imminent — then nothing for 8 more days. No record of quantities delivered until the ship-to-ship transfer happened. Trust was nonexistent.
Port Authority Chaos
Harassment from authorities, severely limited basic services, and an agency with no capacity to resolve either. Crew morale took the hit.
The Pattern: Manual processes, email chains, spreadsheets, intermediaries, zero transparency, and no audit trail.
PortFlow: Built from Real Pain
In early 2026, after 8 months at sea, Jeffry made a decision: build the tool he needed. Not a theoretical solution from an analyst. A platform designed by someone who had lived the chaos—who knew exactly what captains, crews, and agencies needed to stop bleeding time and money.
PortFlow is the result. Every feature, every notification, every report reflects the real problems Jeffry faced during those 8 months at sea. From ETA to Invoice. All in one system. No spreadsheets. No delays. Full transparency.
