About PortFlow

The maritime agency platform built for how ports actually work.

Our Mission

We built PortFlow because maritime agencies deserve better tools. Managing vessel arrivals, coordinating services, generating quotations, and issuing invoices should not require juggling spreadsheets, emails, and paper forms. PortFlow is port agency management software built from real operational experience. From ETA to Invoice, all in one system.

What We Do

  • Vessel Management. Register vessels, track ETAs, manage documentation and port call history in one place.
  • Operations Tracking. Log every port operation with full audit trails, client references, and service details.
  • Quotations & Invoicing. Generate professional quotations automatically and convert them to invoices with one click. Export to PDF in English or Español.
  • Captain Portal. Give vessel captains a secure token link to request services, review documents, and approve quotations directly from the vessel, without exposing internal agency data.

Who We Serve

PortFlow is designed for maritime agencies, port agents, and shipping companies operating in Latin America and beyond. Whether you handle a handful of vessels per month or manage a high-volume port operation, PortFlow scales with your workflow.

24 Years of Maritime Operations

I have spent 24 years around ports and terminals, most of it in Latin America and the Caribbean, with a stretch in Southeast Asia. The short version:

  • Founder & Director, Valema Suministros S.A. (2000–2023). I started a port supply company and ran it for 23 years. It grew 35–40% a year and about 90% of our customers stayed with us.
  • Superintendent Afloat, Blue Horizon Tanker Corp. (2025). I ran tanker operations across Panama, Colombia and Trinidad, working with multicultural crews and negotiating contracts.
  • Consulting Manager, Lemont Estibas (2009–2011). I put 5 Reach Stackers into service in 60 days for Maersk and Del Monte, and took 15% out of the cost.

Along the way: profitability up 8%, operating costs down 30–40%, delivery times cut by 15% after reworking the logistics routes, and a team of 30+ people spread across several countries.

How PortFlow Was Born: 8 Months at Sea

M/V Soli Deo Gloria at sea, where PortFlow's story began

Caribbean Basin operations, 2025

In 2025 I took a job as Superintendent Afloat on a product tanker working the Caribbean Basin. Eight months on board, and the same things kept breaking at every port call:

48 Hours Waiting at Sea

The agency never sent our ETA to the port authority. We arrived on a Friday at 1 PM and they had no record of the ship, so there were no pilots. We spent 48 hours in open sea at 2 knots. A rogue wave hit the starboard side. I caught my MacBook in mid-air while I was bracing myself. We lost a lifeboat. I filed a formal protest.

The Provisions Nightmare

Provisioning ran on Excel and email. Orders took 2–3 days and always came in short. What I ordered for 10–12 days ran out in 8. The cook “made magic” to feed 17 crew. Then a new list, more gaps, another partial delivery. I never knew what was coming, when, or why.

Fuel & Fresh Water: Opacity and Delays

Asking for fuel and fresh water meant email chains to the agency, then WhatsApp numbers for intermediaries who mostly did not answer. They would tell me delivery was imminent, then nothing for another 8 days. I had no record of quantities until the ship-to-ship transfer actually happened. Nobody trusted anybody.

Port Authority Chaos

Harassment from authorities, barely any basic services, and an agency that could not fix either one. The crew felt it.

Every time, the same pattern: manual processes, email chains, spreadsheets, intermediaries, nothing visible, nothing recorded.

PortFlow: Built from Real Pain

In early 2026, once I was back on land, I decided to build the tool I had needed on board. I knew what captains, crews and agencies were missing, because I had spent the better part of a year missing it myself.

PortFlow came out of that. Every feature, notification and report in it traces back to something that went wrong on that tanker. It covers the whole port call, from ETA to invoice, in one system, and it keeps a record of who did what.

Bilingual by Design

PortFlow is available in English and Español, because maritime commerce in the Americas runs in both languages and the software should too. Every document, PDF, and interface reflects the bilingual reality of the region.
